User management
Administrators can easily add and manage users via the Configurations > User Management section of the Dashboard.
Add new user
To add a new user, click the New user account button and complete the following steps:
- Assign merchant IDs and PSP IDs to the user. IDs need to be assigned to give access to see data relating to the entities. Restrict the user's access by selecting the specific merchant IDs or PSP IDs they are authorised to view and manage.
- Enter the user's email address, first and last name.
- Choose the appropriate user role to define the permissions and restrict the actions the user can perform.
- Select the applications to control which areas of the Dashboard the user can access. Applications need to be selected to access the tools.
Click Create user to finalise the user creation and send an invitation email.
User Status
Users will be in one of the following states:
Active: The user has access to the Dashboard and has previously signed in.
Disabled: The user has been disabled and is unable to access the Dashboard. The message 'User is disabled' will appear for any attempted sign-in. An admin can enable the user, so they can access Dashboard again.
Invitation sent: New users who have been invited to the Dashboard, issued a temporary password, and have yet to sign in. Temporary passwords expire after 7 days and the invitation can be resent from the user's profile.
Password reset required: When a user's password has expired, they will see the message: 'Password reset required for user due to security reasons.' upon their next sign-in. An admin can reset the password for the user.
SSO: User accesses the Dashboard using single sign on and is managed through an external SAML identity provider (IdP) rather than in User Management.
Disable or enable access
A user's access to the dashboard can be enabled or disabled through the Manage user menu on the user details page.
User's are automatically disabled if they don't login every 90 days.
Reset password
If a user's password expires or the "Forgot password" reset doesn't work, an admin can reset the password for the user through the Manage user menu on the user details page.
The user will receive an email with a temporary password to sign in and set a new password. The user's current password will stop working after resetting and the user will be unable to sign in until they set a new password.
Resend invitation email
A user with the status of Invitation sent can have their invitation email resent through the Manage user menu on the user details page.
When a user doesn't login with 7 days of receiving the temporary password, the invitation will need to be resent for the user to gain access to Dashboard.
